Managing collaborators effectively is essential for running your property smoothly. This guide explains the different types of collaborators you can add and how to manage their access based on what they need to do.
Understanding Collaborator Types
Your property can have multiple collaborators, each with different permission levels. The primary collaborator has complete access, while additional collaborators can be granted specific permissions tailored to their role.
Primary Collaborator (Editor)
The primary collaborator has complete access to all property data and management functions:
- Full calendar access including booked, blocked, and available dates with price details
- Complete booking information including guest details, price breakdowns, and payment status
- Financial data access including invoices, payouts, and payment information
- Property configuration and settings management
- All guest reviews
- Collaborator management capabilities
- All email and push notifications
The primary collaborator account is legally linked to the property agreement and is the only account type that can access payout details and financial documents.
Managing Collaborator Permissions
When adding a collaborator to your property, you can grant one or more specific permissions. Each permission controls access to different areas of your property management dashboard.
Permission Types
Property Configuration
This permission allows a collaborator to view and edit property information:
What they can view and edit:
- Property descriptions and titles
- Photos (upload, delete, and reorder)
- Amenities and facilities
- Room and unit information
- Pricing and seasonal rates
- Additional fees
- Arrival and check-in instructions
- Calendar sync setup and iCal import/export
What they cannot access:
- Bookings and booking details
- Financial data (invoices and payouts)
- Distribution channels
- Guest information
- Blocked dates management
- Performance metrics
- Collaborator management
- Publishing controls
Important note: If your property is already published, the location field becomes read-only. To manage blocked dates, the collaborator needs the "Viewing and Creating Bookings" permission.
Viewing and Creating Bookings
This permission grants access to booking management and calendar functionality:
What they can see:
- Full booking details including guest names, emails, phone numbers, and addresses
- Complete price breakdown for each booking
- Payout amounts and commission details
- Channel information
- Booking history and modifications
- Blocked dates with comments and notes
What they can do:
- Create and modify manual bookings
- Cancel bookings
- Update guest information on bookings
- Create and edit blocked dates
- Delete blocked dates (if they are not immutable)
What they cannot access:
- Property settings or descriptions
- Distribution channel management
- Pricing configuration
Important note: Guest contact details may be hidden until you complete KYC verification. To see the calendar view, also grant the "See Availability" permission.
See Availability
This permission provides a read-only calendar view, ideal for staff who need to know when your property is occupied without accessing sensitive information.
What they can see:
- Booking dates (check-in and check-out times)
- Number of guests (adults, children, and babies)
- Booking status (confirmed or canceled)
- Booking ID
- Which dates are available
- Blocked date ranges
What they cannot see:
- Guest names, emails, or phone numbers
- Price breakdowns or totals
- Payout or commission information
- Channel information
- Comments or notes on blocked dates
- Property settings
- Financial data
What they can do:
- View the property calendar
- Access the property in the system
What they cannot do:
- Block or unblock dates
- Manage iCal sync or export
- Modify any property settings
- Edit any information
This permission is ideal for cleaners, maintenance staff, or anyone who needs to know property occupancy without viewing financial or guest contact details.
Distribution and Publication
This permission controls access to channel management:
What they can view:
- Connected distribution channels
- Channel connection status
- Sub-channel status
- Cancellation policies per channel
- Channel pricing and markup details
What they can modify:
- Activate new channels such as Airbnb or Booking.com
- Deactivate existing channels
- Enable or disable sub-channels
- Set and update cancellation policies
- Configure channel settings
What they cannot access:
- Property descriptions or settings
- Bookings and booking details
- Calendar and availability information
- Guest information
- Financial data (invoices and payouts)
Mark as Secondary
This checkbox allows a collaborator to receive email and push notifications about bookings on your property. Only one account per property can be marked as secondary.
Important: This permission controls notifications only and does not grant any access to view or edit property data. To give the person actual access to property information, you must also select one or more of the other permission checkboxes.
Common Setup Examples
For Cleaners or Maintenance Staff
Grant the "See Availability" permission only. This allows them to view when the property is occupied or available without seeing guest details, pricing, or financial information.
For Co-hosts or Assistants
Grant "See Availability" plus "Viewing and Creating Bookings" permissions. This enables them to view the calendar and full booking details including guest names and contact information, allowing them to manage bookings effectively.
For Notification Recipients
Mark the collaborator as secondary to send them email and push notifications about bookings. If they also need to view or edit anything, grant additional permissions as needed.
For Property Configuration Managers
Grant the "Property Configuration" permission only. This allows them to edit property information, amenities, photos, and pricing while preventing access to bookings, calendar, or financial data.
For Property Managers
If you work with a professional property manager, we recommend they create a PME (Property Management Expert) account and establish a mandate relationship with your property. This provides proper operational access designed specifically for property management businesses and allows them to access financial data like invoices.
Alternatively, if you prefer not to use the PME structure, you can grant a property manager all permissions: Property Configuration, See Availability, Viewing and Creating Bookings, and Distribution and Publication. This provides comprehensive operational access, though collaborators cannot access financial documents like invoices and payouts—only the PME model grants this access.

Financial Data Access
Only the primary collaborator (editor) can access financial sections of your property management dashboard. No other collaborator type can view:
- Invoices section
- Payouts section
- Payment status details
Note: Collaborators with "Viewing and Creating Bookings" permission can see payout amounts and commission details on individual bookings, but they cannot access the dedicated Invoices or Payouts sections where you view and download financial documents and payout history.
Adding and Managing Collaborators
When adding a new collaborator, carefully consider which permissions they actually need to perform their role. Grant only the minimum permissions required to prevent unnecessary exposure to sensitive property information.
